How do I register for a course?
If you whish to attend a course you must register online by the registration deadline.
Can I register for the course by telephone?
No, registrations must be in writing online on the EGF web site.
How do I know if my registration submitted on-line was received?
You will receive an auto response shortly after you submit the form with the details of your registration.
After that confirmation, you can manage your booking online.
What is included in my registration fee?
This information can be different for each course and has to be found on the web site.
It generally includes tuition, course material, lunch, coffee break and shuttle bus from Porta San Mamolo (meeting point) to the course venue and back every day of the course.
What is VAT and how can I be eligible for a VAT reduction?
The Value Added Tax, or VAT, in the European Union is a general, broadly based consumption tax assessed on the value added to goods and services.
In Italy the VAT percentage on the course fee is 20%.
You can be eligible for a VAT reduction in the following cases:
- You are ITALIAN and work for a PUBLIC INSTITUTION (PhD, students, Researchers, Post Doc, …) in this case please contact your course officer to obtain the reduction form
- You are NOT ITALIAN and work in a FOREIGN COUNTRY WITHIN EC. The bill must be addressed to your Institution/Company and it is NECESSARY to complete the field VAT Number. You will be exempted from the payment of VAT
- You are NOT ITALIAN and work in a FOREIGN COUNTRY OUTSIDE EC. The bill must be addressed to your Institution/Company. In this case you will be automatically exempted from the payment of VAT
How do I pay the course fee?
You must pay the course either by credit card during the online registration process or by bank transfer.
When do I pay the course fee?
You must pay the course prior to the conference. Late payments from Institutions/Company must be agreed with the EGF financial officer before the course.
Can I pay a partial fee if I leave the course early?
No. To encourage all participants to attend the entire course, no partial fee payments will be possible and no partial fees will be refunded.
Are there discounts on multiple registrations?
Yes, for groups of 4 or more from one Institution, contact the course officer for more details.
Does the EGF book my hotel?
EGF organizes two different types of courses, those with accommodations and those without accommodation Please verify on the web site your course details.
In case of not accommodation EGF has a very convenient agreement with two excellent 3-stars hotels located right in the centre of Bologna. The prices are extremely convenient, all the faculty of the course will stay in these hotels, where you will have plenty of chances to talk and socialize with them.
How can I reserve a room in the suggested hotels?
In case of course with accommodation: once you have registered your course you can select ACCOMMODATION INFO, choose the course that you have booked, then the Hotel and finally your room and your roommate.
In case of course without accommodation you can send an email to courses@eurogene.org in order to obtain more detais.
Can I reserve a single room?
Should a participant wish to stay in a single room, he/she should ask the course officer the availability. Please contact the venue to obtain the cost of the single room supplement.
Can I share my twin room with a specific colleague?
Yes. You can manage directly your reservation and choose the colleague you would like to share your room with selecting this link
What do I do if I want to stay extra nights?
In those courses in which the accommodation is included in the fee if you require extra accommodation in addition to the nights included in the course booking, you will need to make your own arrangements by contacting the hotel directly. Extra nights will be at your own expense and should be paid directly to the hotel venue.
What do I do if I have to cancel my attendance?
Cancellations must be in writing sent to the course officer.
Can my course fee be refunded?
Your fee can be refunded up to 7 days before the course according to the following scale:

Please provide your bank details to the financial officer at the time of your cancellation for reimbursement purposes.
How do I get a fellowship?
Before applying for a fellowship, check previously on the web site if fellowships are offered in the course you want to attend.
In case fellowships are offered you should submit your request together with C.V. and a reference letter to esgm.fellowships@eshg.org (please put the course officer in cc).
What are the criteria to get a fellowship?
The scientific committee (together with the director of the course) distributes fellowships based on financial need and scientific merit. Grantees must attend the entire course in order to benefit from the fellowship.
Can I use my fellowship to pay for part of the travel and accommodation?
No. A fellowship covers only the attendance fee.
In special cases the EGF can offer also travel and accommodation grants. These case are published on the web site.
Can I submit a poster?
Poster submission is optional, not compulsory, but we warmly invite all to submit a poster.
Prior the submission of the poster please send by email an abstract to the course officer.
How big should the poster be?
The poster size should be maximum 70cm X 100cm
Can I email the poster directly to the course officer?
No, poster must be printed and carried directly by the participant and it will be displayed in the course venue.
Which language(s) will be spoken at the conference?
The working language of the EGF courses is English.
Can I present my paper in Italian?
No. The working language of the EGF courses is English. All presentations and discussions are in English.
Will interpretation services be provided?
No interpretation services will be provided.
How do I get a certificate of attendance?
During the course, please ask the course officer for a certificate.
How do I get a receipt for the payment of the course fee?
You will receive an electronic invoice after your registration. It will be sent to the email provided during the registration.
How many continuing education units do I receive for the conference?
The credits for continuing medical education are assigned through the accreditation procedure carried out by Menarini International Foundation.
Which documents will distributed at the conference?
Handouts of the book of abstract with a copy of the final program will be provided to participants onsite.
Will course proceedings be produced?
The EGF does not produce course proceedings. In some cases, scientific chairs decide to prepare and distribute proceedings independently from the EGF.
Does the EGF provide insurance to participants?
The EGF does NOT provide insurance and can not take any responsibility for incidents, accidents or illnesses that might occur during the course or in the course of travel to or from the meeting place. It is therefore the responsibility of participants to check ALL insurance requirements.
Does EGF book my travel to the conference?
No, EGF does not book any travel to/from the course site. Each participant must book its own travel.
EGF does provide bus transportation during the course between the course venue and the meeting point located at Porta San Mamolo.

Do I need to book a seat on the buses to and from the venue?
No. The bus times are as indicated in the Vademecum emailed to every participant from the course officer on the course website and there is no need to make a reservation.
What should I do to obtain a visa?
Contact your relevant embassy or consulate to find out what exactly you need in order to apply for a visa. For example, there may be some specific text or personal details that must be mentioned in your invitation letter. Check if a fax or scan of the letter is sufficient - this is sometimes the case and will speed up the process. Once you know what is required, ask the course officer to issue an invitation letter using the specific information requested by the embassy or consulate. Please submit your request as soon as possible, and no later than 3 weeks before the courseas we do not send letters by express courier.
Does the EGF help me obtain a visa?
The EGF will issue an official letter of invitation directly to the participant, or if requested, directly to the embassy or consulate (please provide address and fax number). The EGF will not schedule appointments, make telephone calls or interfere in the visa process in any other way.
What is an hybrid course?
An hybrid broadcast connects participants of the session via the Internet. These virtual courses are held in ESGM-authorized Remote Training Centers (RTC) all over the world. At each RTC, ESGM lectures are held virtually using web-casting, followed by discussion sessions and workshops organized locally by the RTC faculty.
In order to maximize interactive learning during these sessions, the questions raised by students are collected and emailed or transmitted via VoIP (Skype) to ESGM faculty at the main site and answers are broadcast live to the remote sites.
Remote Training Centers (RTC) can be located within universities or other institutions of higher learning, research institutes, hospitals or clinics.
What are the criteria to be a Remote Training Center?
The EGF evaluate each institution who wants to be a RTC individually on the basis of eligibility criteria, such as faculty availability, lecture space, technological resources, and student enrolment potential, and select the most appropriate institutions.
How can a RTC access the live video streaming?
After a general test conducted ten days before the course every RTC will be given a personal password that will allow the RTC to participate in the course.
